Provisioning New User Access Seats and Email Invitations

Scaling your recruitment efforts shouldn't be slowed down by complex IT configuration processes or manual credential setups. When adding new recruiters, hiring managers, or team coordinators, you need a friction-free way to grant secure platform access while maintaining complete control over your account.

Mimo's automated provisioning system allows Admins to issue secure, email-based team invitations directly from the dashboard. This ensures your newly added team members can log in, access their workspaces, and begin managing pipelines in just a matter of minutes.

How to Provision a New User Access Seat

Adding a new team member to your Mimo workspace is a simple, secure process. Follow this sequential guide to send an email invitation and configure their user access seat:

  1. Log in to your Mimo dashboard as an Admin and locate the primary navigation menu on the left side of your screen.
  2. Click on Company in the main navigation links.
  3. Select the Team tab to display your current member list and active invitations.
  4. Click on the + Member button located in the upper right-hand area of the workspace.
  5. Input the professional email address of the colleague you wish to invite in the designated field.
  6. Select their platform role as either Admin or Staff from the role dropdown menu.
  7. Click the confirmation button to automatically dispatch a secure, unique activation link directly to their inbox.

Managing the Invitation Lifecycle

Once an invitation is sent, Mimo tracks its status in real time to give Admins full visibility over active provisioning. This transparent tracking ensures you can monitor onboarding progress and manage your available user seats efficiently.

Your Team dashboard displays the immediate state of every invited member, offering these tracking and administrative features:

  • Pending Invitation Status: Displays sent invitations that are currently awaiting user activation, keeping your active seat count completely accurate.
  • Resend Invitation Link: Allows Admins to instantly resend the secure access email if a colleague misplaced their original invitation.
  • Revoke Invitation Action: Grants Admins the ability to cancel an active pending invite immediately, preventing unauthorized workspace access.
